POSITION DESCRIPTION
Position Title: Accounts Payable Assistant
Department: Accounting
Classification: Full-time, Non-exempt
Supervisor: Director of Finance 

POSITION SUMMARY
Under the guidance of the Director of Finance, the Accounts Payable Assistant advances the mission of Hollywood Community Housing Corp (HCHC), a nonprofit public benefit corporation, by supporting the work of the accounting department as summarized below. The Accounts Payable Assistant will be responsible for monitoring the outflow of capital for HCHC and they must have strong communication, organizational and interpersonal skills to work effectively with outside agencies and HCHC staff members.  

ESSENTIAL POSITION RESPONSIBILITIES
  • Responsible for Accounts Payable.
  • Ensure that checks are mailed and/or delivered to the right place.
  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies. Ensures that W-9 forms are received before processing payments to vendors.
  • Ensures outstanding obligations are credited upon payment, and issues purchase order amendments or stop-payment orders as needed. 
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
  • Records entry of, verifies documentation for, and distributes petty cash. 
  • Year-end processing of form 1099 including reconciliation and distribution of 1099’s to vendors. 
  • Other related duties as assigned.
SUPERVISORY RESPONSIBILITIES

EDUCATION AND EXPERIENCE
  • High school diploma required; a bachelor’s degree in Accounting/Finance preferred.
  • Experience within a real estate industry, housing development and/or property management company is strongly preferred
COMPETENCIES
  • Knowledge of GAAP required.
  • Basic math skills required.
  • High attention to details and accuracy.
  • Proficient in RealPage or Yardi accounting software preferred.
  • Proficient in the Microsoft suite of software including Word and Excel.
  • Ability to multi-task, work independently and produce results.
  • Good written and verbal communication skills.
PHYSICAL REQUIREMENTS

This position requires daily use of office equipment. May need to lift up to 20 pounds. HCHC requires employees to be vaccinated as a condition of employment, subject to any accommodation as may be required by law.

WORK ENVIRONMENT

The essential responsibilities of this position are performed in a busy indoor environment in the main office. The employee must be able to stay focused in an environment with interruptions and distractions.

TRAVEL REQUIREMENTS

Infrequent travel within and outside of Los Angeles County by car or airplane for trainings and meetings. Must have and maintain a valid California driver’s license and insurance as required by law.
